Other benefits are the potential for establishing a presence in multiple markets and enjoying a local phone number for each. There are so many benefits to having a virtual receptionist.
You may wonder how exactly does it work? Through a virtual receptionist you can have all your company’s calls professionally answered and the messages sent to you as a text and email. First, the fax machine made revolutionary changes in the businessworld, followed closely by email, Instant Messaging, and cell phones/Blackberries. These items are all part of the on-the-go businessperson’s mobile repertoire. We’d like to add another useful tool to that list: virtual assistant.
Even if you don’t have a physical office space to speak of, your virtual assistant can hold down a home office for you. Virtual assistants can also take care of business-specific tasks. For instance, if you are a real estate agent and have a househunting client who changes his mind every other day about what he’s looking for, your virtual assistant could pull possible house listings and comps for you, while you’re in-between showings.
Many virtual assistants can be hired on an as-needed basis, so that if your business has a “busy season,” you could easily keep a VA busy for that timeframe and then transition back to running a solo show when the busy season is over. But we have a feeling that once you try and get used to having a VA to help you, you’ll decide to rethink the DIY approach.
Virtual Assistants Tip: When you hand out your business cards with contact information on them, rather than the number on the cards going directly to your cell phone (and you have to figure out in a split second before answering: is this business or is this personal?), it’ll instead go through your virtual assistant, who can very often handle the call for you.

How many times do you suppose that your company has missed out on new business opportunities or new clients because your receptionist stopped answering the switchboard on the dot of 5 p.m.? You may want to consider looking into a virtual receptionist, whose services are offered with extended hours — 5 a.m. to 7 p.m. – crossing time zones and able to handle it all smoothly and professionally.
In addition to extended phone coverage times, there’s more to a virtual receptionist’s job than directing calls. When you think about it, virtual receptionists can have a huge and important impact on the marketing of an organization. If someone is calling your company, they’ve come for a reason: as a customer, client, potential employee, potential employer, or business partner. No matter what, there’s some sort of negotiation involved. If the virtual receptionist can change the mindset of the caller via friendly, competent, and efficient phone manners, good things can happen (or, if it goes poorly, bad things) for everyone involved.
Virtual Receptionist Tip: A virtual receptionist is very often setting the tone for the company’s business, simply by picking up the phone and saying, “hello, how may I help you today?” How the calls go from that point on are up to you, but your virtual receptionist has laid the groundwork for a successful and professional call.

Many small business owners seem to have heard about using virtual assistants in some form or another. However, there is a lot of misinformation and myths about the world of virtual assistants. If you’ve considered using a virtual assistant, but have concerns, perhaps you don’t understand how valuable these virtual services really are. Lets look at a couple of the most common concerns about using virtual assistants.
Concern: My business isn’t big enough to hire a virtual assistant.
Many times, a small business owner ends up spending a huge amount of time working on administrative tasks for the business, such as billing, appointment-making, calendar maintenance, bookkeeping, travel arrangements, or tracking expenses (to name a few). With a virtual assistant on-board, the small business owner’s time is freed up. Time that can instead be spent generating new business, working on a client’s project, on research, or other high-level business tasks.
Concern: My business can’t afford to hire virtual assistants.
The truth is that hiring virtual assistants can actually save your company a good deal of money. This is because your company does not have to provide office space or equipment for the help. In addition, virtual assistants are available to work on an as-needed basis; in other words, if you have 10 hours of work a week that needs to be done, you are only paying for 10 hours a week’s worth of a virtual assistant’s time.
Virtual Assistants Tip: Many small businesses who are looking to grow would find a virtual assistant to be instrumental.
