It never fails, does it? You learned this morning that you’ve got a last-minute business trip on Thursday, but — because of all the preparations for the meetings — you don’t have the time to make the travel arrangements yourself. Just hand it over to your virtual assistant, who can take care of it in no time at all, airline tickets, hotel arrangements, maybe even the car service to pick you up at the airport.
Business travel is a common thread among companies, no matter their industry. And while a number of large corporations have a department that they can turn to for making their business arrangements, most mid-size to small businesses usually end up doing it for themselves. However, if you instead utilize the skills of virtual assistants to help with business travel arrangements, you and your company could save innumerable hours a month.
Of course, a virtual assistant’s skills don’t just stop with travel arrangements…they can also often help out with creating or preparing presentations, too. I know that my Excel skills aren’t what I’d like them to be, and I’d find it a huge relief to be able to hand over the data and know that the virtual assistant can return it to me in Excel format, quickly, efficiently, and – most importantly – accurately.
Virtual Assistants Tip: Next time you’re planning last-minute business travel, your virtual assistant can take care of rescheduling any appointments for you, saving you time and energy that you can instead focus on business trip preparations.

Isn’t it maddening when you call a company around noon and get a voicemail message saying “the office is closed for lunch until 1:30”? Maybe you called because that was the only time you could find a spare moment to make the call, and now you’ll have to find the time again later on in the day to call back. It’s not a popular practice and we’re sure it’s lost many companies many customers as a result.
Here’s how to keep your company from causing such headaches for your clients. With virtual receptionist, this simply doesn’t happen. A virtual receptionist is there to answer your customer’s calls during business hours – from breakfast meetings to business lunches right on through to a business dinner.
Aside from never taking a long lunch or calling in sick for three days straight, a virtual receptionist also benefits your business’ budget. How could that be? Most of the time, the cost of a virtual receptionist is a portion of the cost of hiring, training, and keeping a receptionist in benefits. You’re also not paying for a receptionist’s office space or business equipment. These are all business expenditures that you might think are required, but the new reality is that, through the use of a virtual receptionist, these expenditures are far from necessary.
Virtual Receptionist Tip: No matter the time of the business day, the virtual receptionist is there to answer calls and properly direct them.

“How can I help?” It seems like – whether you’re at work or at home – you don’t hear that question enough, but when you do hear it, you can’t think of anything right that moment! Efficiency experts often suggest making a list of things that would help you in running your job (or your home), and we think that idea would work beautifully to illustrate just how useful you would find a virtual assistant in your company.
The wide variety of skills that virtual assistants have ready to help you and your business out. These skills may include bulk mailing, contracts management, transcription, spreadsheets, correspondence, mail merges, bookkeeping, creation/proofing/ordering of brochures, PowerPoint and other presentations, professional license management, mileage and expense reports, contracts, manuals creation and maintenance, event-planning, time-keeping, Notary public services, messaging and reminders, creation of and assistance with marketing materials, typing, forms, real-time driving directions, financial statements, and gift- and flower-ordering.
When you factor in the bonus benefits of not having to cover the usual expenses associated with a traditional office assistant (such as purchasing equipment and furniture, covering employee benefits and taxes, among other things) and it’s quite clear why so many companies, large and small, are taking full advantage of this new business trend.
Virtual Assistants Tip: Tapping a virtual assistant for help on certain business tasks often proves to be an efficient and professional solution to a common time-crunch complaint.

Imagine this: Your best friend calls to brag on his office’s new receptionist, who will do the administrative tasks, conference or meeting planning, event planning, travel arrangements, you name it. The only thing she can’t do, he says with a laugh, is make the coffee. Why? Because she’s a virtual receptionist, taking care of the office administration remotely.
Countless companies in dozens of industries are choosing virtual receptionists for their offices. They’re finding that the virtual employees offer great benefits, including maintaining the company’s professional image and enhancing business productivity through smooth business communication flow.
How does it work? Through a virtual receptionist you can have all your company’s calls professionally answered and the messages sent to you as a text and email. You can choose to send calls to your virtual receptionist as often or as seldom as needed. Your virtual receptionist will take a message for you, and then forward the message to you by either email, or text message right to your phone.
Companies love that, instead of getting an answering machine, voicemail, or a rushed business owner, their clients will speak with a live person. Other benefits are the potential for establishing a presence in multiple markets and enjoying a local phone number for each. There are so many benefits to having a virtual receptionist.
Virtual Receptionist Tip: A great many companies enjoy having a single, reliable, and competent point of access for customers through the use of a virtual receptionist.

In today’s crazy-busy world, just about all small businesses are busier than ever before with tasks and work from all directions, and taking time out to hire new staff – whether that be virtual receptionists or assistants — can take valuable time away from generating new business.
Without a full-time human resources office, small businesses often find the complicated logistics of filling job openings to be tedious and all too often less than fruitful. However, we suggest that if they instead chose our virtual receptionists to “fill” the positions, they’d skip over all the time-consuming sifting through resumes, setting up and conducting countless interviews, and calling references, and get right to the good stuff: having quality workers on the job, representing your company.

Are you on-board? More and more small businesses are turning to virtual assistants as a way to save on staffing costs. It’s a very cost-beneficial approach to finding qualified and competent help. How, you might wonder, is this different from calling up a temp agency? Let’s take a closer look.
Virtual assistants can be hired on an as-needed basis. For example, if your company only has a need for six hours of a marketing assistant per week, that is all you would hire a virtual assistant for.
Virtual assistants can be anywhere. If your company’s clientele tends to come from the East Coast while you and your company are firmly located on the West Coast, you might run into trouble if you’re unavailable at 9 a.m. their time. However, you could enlist a virtual assistant on the East Coast who could field customer calls and requests for you. Conversely, a virtual assistant in a different time zone from you could cover customer calls on later, or extended, office hours. Lastly, virtual assistants don’t require you to provide them with office space or equipment. That’s a huge cost savings alone.
Virtual Assistants Tip: For many small businesses with no or few employees, having a virtual assistant take over administrative tasks allows the business owner to concentrate on more important business.
